Letter writing is one of the most effective ways of communication. Today, although telephone, fax, and e-mail have replaced personal (informal) letters, formal letters are still used.
Trade, official correspondence, public representation, complaints and other dealings, transactions, and communication with people are still conducted through formal letters. Therefore, one must learn the art and skill of letter writing. Different kinds of letters follow different conventions.
Types Of Letters
We write two kinds of letters which are discussed below
- Informal Letters An informal letter is a letter that we usually use to write to our friends, family, or relatives. These letters are personal letters that are not used for official purposes. Hence, they use very informal and simple language.
- Formal Letters These letters are generally written to officials regarding serious issues. They have set patterns and are written using crisp and clear language in a matter-of-fact style. The language should be kept simple without including any unnecessary expressions.
There are many kinds of formal letters. However, in Class 6 we will focus on
- Letter to the Editor
- Application to the Principal
Main Elements of a Letter
- Sender’s Address According to the latest format, the sender’s address is written at the top along with the pin code. Do not write the sender’s name with the address.
- Example: K-127, Ashok Nagar ,New Delhi-110092
- Date It appears directly below the sender’s address after leaving a one-line space. It is advisable to always write the full date in the following format.
- Example: 25th December, 20XX
- Receiver’s Address It appears directly below the date and comprises the receiver’s name, designation, and complete address.
- Example: The Editor

Maitfl While writing the address (both sender’s and receiver’s), one must not use a ‘comma’ at the end of each line. If the address is not provided in the question, then you may create a fictitious address but writing an address is mandatory. We write the sender’s address only in formal letters.
The subject is written in a formal letter. It can be written after the receiver’s address or after the salutation. It should be short and to the point.
Example: Subject Application for the post of Content Writer
Salutation This consists of words of greeting and is written on the left-hand side of the page just below the date after leaving a line. The form of greeting depends upon your relation to the person to whom the letter is being written.
- In the case of informal letters, you use Dear Rohan, Dear Mummy, etc.
- In the case of formal letters, you use only Sir/Ma’am.
The body The body is the main part of any letter. This is written in response to the given topic in a simple and direct language.
The body includes three main parts
- The introductory paragraph/sentence States the purpose of writing the letter.
- Informative paragraphs Details about the subject of the letter. It includes arguments related to the theme of the letter written in a simple and organized manner.
- Concluding paragraph/sentence The closure of the letter/conclusion stating hope, request, or comment.
Complimentary Close It is a courteous way of ending the letter. The expression used must match the salutation.
- In the case of informal letters, we use your friendly/Yours lovingly.
- In the case of formal letters, we use Yours sincerely/Yours faithfully.
Signature, Name, and Position It is written just below the ‘complimentary close’ and includes the sender’s name and designation (if applicable).

Points to be Kept in Mind
- The subject line should match with what is asked in the question. It should be short and
to-the-point. - Get right to the purpose of the letter in polite language.
- Be clear, concise, and to the point. Stick to the word limit of 100-120 words.
- Use simple language so that the letter is easy to understand. Do not use long-winded sentences.
- Re-read your letter to check the format and to make sure that there are no grammatical errors in it.
