In the present world, with improvements in the internet and technology, e-mail has emerged as the easiest, fastest, and most important means of communication. It allows us to send, receive, store, and forward messages to several persons simultaneously.
E-mails can be both formal and informal. However, they are most commonly used in formal communication. In Class VI, we will cover writing informal e-mails and e-mails to school authorities only.
Parts Of An E-mail
An e-mail generally comprises many parts. They are
- Recipient’s/Receiver’s Address The first thing you need to enter when composing an e-mail is the recipient’s address. An example of an e-mail address is [email protected]. When sending a message to multiple recipients, be sure to separate all addresses with a comma.
- Cc and Bcc Another option when sending a message to multiple recipients is to use the Cc, or carbon copy, and Bcc, or blind carbon copy. When using the Cc feature, all recipients can see the e-mail addresses of all people to whom the message was sent. If you want your communication to be more private, choose the Bcc option and the identities of the other recipients will not be visible to anyone.
- Subject Line The subject line is the first part of your e-mail that the recipient will see. So, when entering the subject line write precisely what the e-mail is about.
- Starting Salutation Always write the name of the receiver of the mail before writing your message.
- Body The body is where you write the message that you want to send.
- Attachments If you have files that you want to share with your recipients, you can include them as attachments in an e-mail.
- Ending Salutation You should always end your e-mail with a note of thanks and your name.
Points to be Kept in Mind
- The receiver’s address should be properly written.
- The Subject of the e-mail should be short.
- Do not use SMS language in an e-mail.
- Always write an e-mail in not more than 100 words.
- Use clear and easy language to write your message.
- Remember to re-read your e-mail to make sure that you have not made any errors in it.
Format Of An E-mail
Write an e-mail to the Principal of your school requesting him to grant you five days leave to attend your sister’s marriage.
Note This is a page that you will see when you are writing an e-mail from your mail account. However, while writing an e-mail in answer, you follow a different format. We include the sender’s e-mail in our format while writing Cc and Bcc becomes optional.
